Visitor Management System/ Vestibule

School safety and communication with parents are priorities in Gwinnett County Public Schools (GCPS).  As part of GCPS's commitment to ensuring a safe, secure, and welcoming learning environment for all students, staff, and parents, our visitor management process was strengthened this year with the recent installation of a security vestibule.  This area of our front entrance lobby will serve as a single-entry point for parents attending conferences/events, as well as for students arriving late to school or returning to school after an appointment.  Please note that parent checkouts will occur through the vestibule.  

Updates to our visitor entry process are detailed below and will take effect on Tuesday, January 16, 2024. We appreciate your patience and understanding as we implement this new system. 

How will the Visitor Management System work?

Appointments/ Visits

During school hours, entrance for visitors is restricted to designated doors near the office, which are locked until the visitor is granted access.We will continue to use the Visitor Management System (VMS) to allow entry into the school building. Please press the bell found outside the main entrance to notify a staff member of your presence. 

A staff member at the school then uses the audio/visual intercom to see the visitor's face and to request a reason for the visit. Once their purpose is validated, the office staff electronically unlocks the exterior door, allowing the visitor to proceed into the vestibule.  

The Raptor System (ID check) will be located in the vestibule. Visitors will need to place their driver's license in the Raptor System.  At this point, adult visitors will go through a check-in process, entering their driver's license or a state-issued ID into a scanner. The scanner compares the information on the visitor's ID to a national sex offender database. If a visitor does not have a U.S. government-issued ID, the school staff member can use another form of identification and manually enter the person's name into the system. The form of identification can be placed under the scanner to be viewed by front office staff. 

Once the ID is checked and the person is cleared, they are issued a detailed visitor badge that identifies the visitor, the date, and the purpose of their visit (a visitor's badge will not be necessary for those who drop off an item). Once the badge is issued, visitors will be "buzzed" into the school if needed. Badges must be worn and visible at all times.If you have any further questions, there is also an intercom/bell button to press inside the vestibule and someone will assist you.

Item Drop Off

If you need to drop off an item for a student, please press the bell to be buzzed into the vestibule. You will not need to provide an ID or be checked in. Place your child’s item on the table inside the vestibule and take a sticky note (provided) and label the item with the child's name and teacher's name. Student belongings will be delivered during the school day as time permits. Please refrain from bringing fast food for students.

Student Drop-Offs

Parents can drop students off at the front door after 9:20am to enter the building. Late arrival notes will be printed at the front lobby desk to take to class.

Student Check-Outs

If you need to check out a student, please press the outside doorbell to enter the vestibule. Press the intercom button inside. A staff member will gather information and give instructions on how to proceed. Adult visitors will go through a verification process, placing their form of identification under the scanner. Parents will stay in the vestibule for student check-outs. Once confirmed that you are approved to check out the student, the student will be called to the front to meet you in the vestibule area. 

Students may be checked out of school by an approved parent/guardian. This information is set by the enrolling parent during registration. Parents may change these permissions in the Parent Portal and through communication with the school. NO STUDENTS MAY BE CHECKED OUT AFTER 3:30PM. Late check-outs interfere with dismissal safety.
